About the Role:
Callen-Lorde is seeking a dedicated Behavioral Health Administrative Scheduler to support our Behavioral Health department. This position plays a vital role in facilitating patient access to behavioral health services while ensuring compliance with New York State’s Article 28 and 31 mental health regulations. As a key administrative support, the Scheduler will assist clinicians and managers in scheduling, patient tracking, and regulatory compliance

Key Responsibilities:

Scheduling & Patient Coordination

  • Assist the Behavioral Health Operations team with scheduling activities, including creating and updating templates for psychiatry and behavioral health services.
  • Manage waitlists, track patient admission requests, and conduct follow-ups post-admission.
  • Ensure timely access to care by collaborating with Behavioral Health Administration, Patient Administrative Services, and Patient Care Associates.
  • Expedite services for high-risk patients or those transitioning from higher levels of care.
  • Oversee warm handoffs and coordinate care between medical and behavioral health teams, including conducting assessments.

Administrative & Compliance Support

  • Verify insurance for new and returning patients and connect eligible individuals with Medicaid facilitators.
  • Generate, prepare, and distribute administrative reports related to waitlists, scheduling, and rescheduling.
  • Support department audits conducted by accrediting bodies.

Work Schedule

Callen-Lorde’s Behavioral Health Clinic is open Monday through Friday. This is a full-time position with normal business hours. Occasional evening and weekend hours may be required.

Qualifications

Education & Experience

  • Master’s degree in Social Work and NYS licensure – LMSW or LCSW required
  • At least one year of experience in a health/behavioral health or social services setting preferred.
  • Experience in behavioral health outpatient settings, such as Article 28 DOH, Article 31 OMH, or Article 32 OASAS clinics.
  • Prior administrative support experience in an OMH clinic setting.
  • Proficiency with Microsoft Excel and Electronic Health Record (EHR) systems.
  • Experience working with diverse populations.
  • Knowledge of health and mental health issues affecting LGBTQ+ individuals and those living with HIV.

Skills & Characteristics

  • Strong interpersonal, written, and oral communication skills.
  • High attention to detail and ability to manage multiple tasks efficiently.
  • Experience with electronic medical records (EMR) and related technologies.
  • Bilingual (Spanish/English) preferred.
