The Programs and Services Division (PSD), License Endorsement and Traffic Safety (LETS) section is actively seeking a highly motivated Administrative Assistant to join their exceptional team.



The Licensing Endorsements and Traffic Safety (LETS) section, which includes our driver training, motorcycle safety, and commercial driver licensing programs, is dedicated to fostering a culture of safe driving and riding through innovative education, rigorous assessments, and accessible licensing processes. We strive to continuously improve driver and rider knowledge, skills, and behaviors, through Leadership and Innovation, Equity and Access, Education and Assessment, Community and Outreach, Legislation and Regulation, and Partnership and Support ultimately leading to a significant reduction in roadway fatalities and serious injury crashes in Washington and beyond.

Duties

As an Administrative Assistant for our License Endorsement and Traffic Safety (LETS) Team, you will have a crucial role in ensuring the smooth operation of our organization. Your meticulous calendaring and scheduling skills will keep everyone on track, and your supply and inventory management know-how will ensure we have the resources we need to succeed. In addition to handling administrative duties, you will also assist in drafting executive-level communications, making recommendations that align with our agency's values, and providing necessary support to the team. Your work in this role will have a direct impact on our ability to fulfill our purpose of helping every Washington resident live, work, drive, and thrive.

Some of what you will do:
  • Assist with making travel arrangements, and creating itineraries.
  • Maintain and verify accuracy of logs for State Owned Vehicles.
  • Support recruitment and onboarding/offboarding.
  • Prepare meeting materials and attend program meetings.
  • Provide confidential general administrative assistance to management team.

Qualifications

What you will bring to the role:

  • Three (3) years of progressively responsible experience in office/clerical, secretarial, or general administrative work.
OR

  • One (1) year of experience as an Administrative Assistant 2 (AA2).
      
Experience must include:
  • One (1) year of Microsoft software experience to include Outlook, Excel, Word, and PowerPoint.
  • One (1) year of experience composing, formatting, proofreading, and editing professional correspondence, emails, memos, letters, and documents, applying "plain talk" principles and clear communication guidelines.
  • The ability to:

What may set you apart:
  • Six (6) months experience using a ticketing system to submit help tickets, employee access, or purchase requests. e.g. NeoGov, DRIVES, PBLS, Service Now.
  • Experience coordinating travel and meeting arrangements for staff using Travel Expense Management System (TEMS) or a similar system.
  • Experience managing a small vehicle fleet; e.g. Managing vehicle registration, renewals, and maintenance schedules.
  • Experience interpreting and/or explaining Washington statutes, policies, and governing documents for internal and external customers.
  • Experience coordinating, tracking, reviewing, analyzing, monitoring, and facilitating legislative and rulemaking efforts.
 
Additional Conditions of Employment:
  • Ability to work-in office two (2) days per week or more as business need arise.
