Job Summary
Hive Group is seeking an Operations and Office Management Support Lead to oversee and coordinate a wide range of operational and administrative support tasks for a major federal acquisition program. This role will involve managing office operations, ensuring high-quality program coordination, and supporting knowledge management and technical writing initiatives. The ideal candidate will have experience in federal procurement environments, ensuring that all operational tasks meet the highest standards and align with the overarching goals of the program.
Key Responsibilities:

Operations and Office Management:
- Lead and manage office management and operational support activities, including meeting planning, data calls, and the drafting of policies and procedures to support federal acquisition initiatives. All tasks should be executed with a focus on accuracy, efficiency, and adherence to federal standards.
- Oversee the development and implementation of knowledge management plans, ensuring processes are not only streamlined and accessible but also consistently meet quality assurance standards for internal and external stakeholders.
- Provide comprehensive logistical support for enterprise-wide events, including town halls, awards ceremonies, senior leadership meetings, and monthly leadership calls, ensuring that all arrangements are thorough and executed flawlessly.
- Conduct reviews and hotwash presentations post-meetings to assess successes, best practices, and areas for improvement, fostering continuous process enhancement.

Program Coordination:
- Coordinate program activities with meticulous attention to detail, managing logistical aspects of in-person and virtual meetings, including scheduling, agenda coordination, and the documentation of action items. Ensure all deliverables meet the program's high standards of quality.
- Support ad hoc project requests, including urgent, time-sensitive tasks such as creating and updating slide decks for internal and external meetings, ensuring content is clear, accurate, and professionally presented.

Knowledge Management:
- Manage intranet and back-end file management systems to ensure centralized access to essential documents, policies, and resources, promoting consistency and efficiency. Implement scalable knowledge management solutions that uphold the highest standards for accuracy and reliability.
- Standardize processes for content management, updates, and approvals, ensuring that all knowledge management practices align with the program’s quality benchmarks.

Technical Writing Support:
- Provide high-quality technical writing and editing support for various documents, including acquisition templates, meeting notes, and operational notices. Ensure all documentation is clear, accurate, and complies with federal regulations.
- Maintain and update AAS templates and standard operating procedures (SOPs), with a focus on precision and clarity to support the program’s operational excellence.
- Ensure all operational documents and meeting notes adhere to federal guidelines and internal quality standards, contributing to the professionalism and reliability of the program’s output.
This is a remote position.
Required Qualifications:
- Bachelor’s degree in Business Administration, Operations Management, or a related field.
- Minimum of 5 years of experience in operations management or office administration, preferably within a federal acquisition or procurement environment.
- Strong organizational skills with a proven ability to manage multiple tasks and projects simultaneously while maintaining a high standard of quality.
- Experience in knowledge management, technical writing, and providing logistical support for large-scale events.
- Excellent communication skills, both written and verbal, with a keen eye for detail and a commitment to accuracy.
Preferred Qualifications:
- Master’s degree in a related field.
- Experience with federal acquisition programs or similar government initiatives.
- Familiarity with federal procurement regulations and processes.
- Proven track record in leading operational support teams within complex federal environments.
