Who we need

Reporting to the Manager, Real Estate, we have a new opportunity for a Junior Lease Administrator. Part agreement interpreter, part supporter of all-the-things, and all relationship management, this is an incredible opportunity to grow your career in telecommunications (telecom) and commercial property. You will manage communication, documentation and processes, including payments, renewals, and communication with landlords or tenants. You will track the details and facilitate status updates related to new site builds and lease agreements.

This is a fully remote role. You may be invited to join the team onsite in Toronto up to three times a year.

As part of a team overseen by a VP with a proven record of promoting from within and supporting the ambitions of her team, your next step here may include moving up to a Senior Lease Administrator and into program, project and people management, all the way to a Senior Director role.

What you will do:

  • Manage critical communications. You will be the point of contact for landlords, fielding inquiries and complaints related to property damage, key and access issues, maintenance issues, snow removal and meter installations. You will provide reassurance and resolutions in a timely manner. You will own and monitor the National Colocation inbox, flagging escalations to the appropriate departments and following up to ensure resolution. You will create spreadsheets, databases, documentation, and presentations to communicate information to internal and external stakeholders effectively.
  • Manage multiple lease agreements. You will draft effective, concise renewal notices; prepare a preliminary market analysis to determine fair market value; negotiate business terms for the renewal term, including rent, securing further options, and improving the terms and conditions of the initial agreement; and prepare and execute necessary lease documentation.
  • Manage new site build details. You will abstract all new site build agreements. You will assist with acquiring new sites, managing scope and deliverables, updating milestones, and tracking the details on a daily basis. 
  • Reporting. You will schedule and generate all lease administration reports (Expiry Report, Construction Start Date Report, Pipeline, etc.) and distribute them to departments. You will own government legislative reporting and ensure the team follows legislative timelines. You will support financial audits and ad-hoc requests such as prior year payment reporting.

What you bring:

  • The experience. You have worked in an administrative role managing contracts, agreements, or project plans involving internal and external stakeholders. You have experience reading and interpreting complex legal documents, abstracting details, and entering information into a database. You have experience managing customer or client inquiries, retrieving and relaying accurate responses to eliminate concerns and build trust. 
  • The drive. You thrive in a fast-paced, unstructured environment, performing extremely detailed, structured work at a high volume. You can prioritize tasks, manage multiple projects simultaneously, and meet competing deadlines. You take the initiative to ask probing questions to gain insights and confirm accuracy. 
  • The technical skills. You are proficient in MS Office, and you may have exposure to project management tools. You can quickly learn new software and systems.
  • The interpersonal skills. You take a people-centric, transparent communication approach to your work. You have professional and flexible written and verbal skills and can adapt your messaging to fit any type of audience, from executive leaders of major corporations to engineers and crews to concerned citizens in remote communities. You can navigate conflict and provide reassurance. You are equally comfortable making phone calls as you are responding to emails. Fluency in French is an asset.
